PinTech Cataloging Exceptions Report

Each Monday, TS staff receive a report of potential cataloging errors. The report is generated by comparing item records in the Polaris database against a "master" table of acceptable values set up for each library.  Any combination of Collection / Stat Code / Call Number Prefix found in an item record that does not exist in the master table, will be returned as a potential issue.


The report can also be run manually, via WebReports.




Fixing Records in Polaris

The report groups items by the Collection / Stat Code / Call Number Prefix combination that is missing from the master table.  Below the heading, it will list the control numbers and item information for all item records currently using that combination.  Column A of the report contains an item SQL search that can be used in the Polaris Find Tool.


If an item record has an incorrect value in the Collection / Stat Code / Call Number Prefix, staff can modify the item record in Polaris.  Once an item matches an entry in the master list, it will stop displaying on future reports.



Adding Combinations to the Master Table

If an item record combination is correct and you want to add it to the master table, add one of the item records with that Collection / Stat Code / Call Number Prefix combination to Record Set 116637 ("Cataloging Exceptions Report Additions").  The next time the report is run, it will act as if that combination has been added to the master list. 


Pinnacle staff will periodically add these combinations to the master table and clean out the record set.



Removing Combinations from the Master Table

The last tab of the workbook ("zMapping") contains your library's current mapping list for reference. If there are combinations that are no longer correct, you can remove them by emailing updates to Pinnacle staff.  Generally, highlighting the combinations in Excel works well.
