On the 25th of each month, newly added bibliographic records are sent to Backstage Library Works for automatic authority control and cataloging processing. Backstage will perform bulk edits such as updating/deleting obsolete fields, authorizing subject headings, and converting AACR2 fields to RDA. As records are processed, they will be given 3 tags:
- 040 $d UtOrBLW
- 994 RDA ENRICHED
- 995 MARS
Each month, any records without an 099 (On Order) or 995 (BSLW) tag will be considered a full bibliographic record and will be sent to Backstage for processing.
While Records are Being Processed
When records are sent for processing, Pinnacle staff will inform the PinTech mailing list that the latest batch of records has been sent to Backstage. During this time, catalogers should refrain from editing or overlaying any of these records as those edits will be lost when the records are reimported back into the system - approximately 4 - 6 hours later.
Generally, the records sent in this process are records that have been added to the system in the previous month, so catalogers should pay special attention when cataloging new materials while records are being processed. To check if a record has been included in BSLW processing, staff can check if the bibliographic record has been added to a record set (Links -- Record Sets). All records sent to Backstage will be added to a record set with a name similar to "BSLW [Month] [YEAR]"
This process does not affect item records or On Order records. It's ok to modify item records and overlay brief records while processing is taking place.
After the records are loaded back into the system, Pinnacle staff will send a message that cataloging can resume as normal.
